Gippsland MTB AGM: 17-Sep-2013

Since its beginnings in 2008, the club has continued to grow into one the country’s premier mountain bike clubs. In its short history the club has continued to build its membership base and local race calendar, whilst hosting national and state events with tremendous success. It is now time for the club to look at its direction for the next 5 years and that is where you come in.

We will be holding an Annual General Meeting on 17th September 2013 at McMILLAN PARTNERS, Level 2 30 KAY STREET, TRARALGON starting at 7:00pm. This is an opportunity for you to put your hand up and take on a role to help with the running of the club. Most roles are not too time consuming and some are almost as easy as turning up to committee meetings to providing input in decision making. The more assistance; the greater the club will be.

Different roles require different time commitment, however most roles are fairly small in size. If you want to know more then contact one of our current committee members or e-mail info@gippslandmtb.com.au.

All positions are declared vacant at the AGM, so do not be afraid to put your hand up just because you think that someone else did it and they might want it again. Most current committee members have multiple roles at the moment and would be more than happy to focus on a specific area of the club to keep us moving forward.

Also, if you cannot be there on the night but one of your mates are going, you can still vote for people by completing a Proxy Appointment Form (available here) and sending it to one of the addresses above. This all sounds very formal and in fact it is probably the most formal part of the club. So please, consider standing so we can get some new faces and ideas in the prime positions to keep the club growing. Unless you hold one of the executive positions, you may not necessarily need to attend all committee meetings in person and a report can be sent to the club secretary before the meeting.

One of the greatest areas of discussion is the current race calendar. Often it is the same people who set up and pack up, apply for permits, do the registration and control the timing. As you can imagine, this can sometimes be time consuming for a small band of people. If there is no further assistance, it is likely the race calendar will change dramatically without more of our members assisting. Please think about attending the AGM or emailing the club with your support.

The Committee positions that the club has available are:

President Chair meetings, oversee general direction of club
Vice President Undertake president’s duties in their absence
Secretary Record meeting minutes, prepare meeting agenda, control club correspondence
Treasurer Control club finances, report month transactions at meetings
Membership Secretary Process membership application/renewals, notify members when renewals due
Media Liaison Submit press releases to news organisations, develop relationships with media groups
XC Representative Schedule and delegate organisation of XC events
DH/4X Representative Schedule and delegate organisation of DH/4X events
Region Representatives Represent interests of members within designated club region, liaise with local bike shop.
Regions are: Bass Coast, Baw Baw Shire, Latrobe Shire, Wellington Shire, East Gippsland Shire & South Gippsland Shire.
Trail Advocacy Representative Liaise with government and land managers to gain access to land for the construction of trails
Web Site Administrator Develop and manage content on the club website and social media
Club Sponsorship Approach businesses in regard to club sponsorship, ensure sponsors get proposed benefits, help develop yearly packages
Development officer A new position to look at developing new members, especially juniors, and introducing them to mountain biking.
Equipment Officer A new position to manage and look after the clubs growing equipment and asset list. May include monitoring where the equipment is located.
Possible purchasing new equipment based on needs as well as repairing and maintaining current equipment.
